A highly successful multinational consulting firm with multiple brands experiencing phenomenal growth. The role primarily supports the CEO but will also work closely with and support the executive team including Operations, Finance and Marketing.
This is a rare opportunity for a high energy, detail oriented Commercial Executive who is a self-starter and can think outside the box. Supporting a very busy CEO means there is no hand-holding so you will be required to use initiative and find solutions - we hope that you’ll love that you have this scope in your role.!
You will be a superstar all-rounder who can easily transition from presenting in the boardroom to making coffee, no job is too big or too small, we are a very hands-on team.
Your role will include but not be limited to the following areas:
- Managing and coordinating a extremely busy and ever changing calendars including frequent interstate and international travel arrangements, accommodation and transfers
- Effective email management - prioritizing and filtering all incoming mail and communication, both professional and personal, and have the ability to respond and manage communication at all levels, not just shuffle around or forward on
- Managing group conferences including overseas group travel
- Researching and preparing proposals
- Analyzing business data and providing recommendations
- Personal Assistant duties - From menial to exciting
- Balancing and supporting multiple people and projects
- Reconciliation of personal statements with multiple entities
- Supplier Management
- Updating of finance and operations documentation
- Internal Adiministration
- Administration for new employees & onboarding process - inc creation of contracts.
- Management and updating of internal CRM
- Treat it like your own business, manage yourself and get the job done
- We are looking for a UNICORN! This role is not for a desk-jockey. You will be at your happiest getting stuck in and getting your hands dirty and work best in a high pressure environment where priorities can change from one minute to the next!
To be considered for this role, we want to see the following key skills and experience:
- Experience as an EA/PA, not just a standard administrator
- Not a corporate suit type - Whilst adaptable to corporate tasks, you're not a nine to fiver
- Experience dealing with landlords, property managers & suppliers.
- Efficient, resourceful, able to think on your feet and think fast!
- Filter the unnecessary and act as a gatekeeper when needed
- High level of computer literacy across Google suite or Excel, Word, Microsoft and Mac programs coupled with social media savviness
- Excellent communication skills and high attention to detail
- Attitude: Fun, outgoing, engaging, humble
- Strong project management skills is essential
- Ability to prepare and understand complex reports and papers
